How to move Word, PDF and paper templates into Househound
Short answer
If you write home inspection reports in Word, Google Docs, a fillable PDF, a spreadsheet or on a paper checklist, Househound can turn those files into a template and comment library. Word .docx files import directly (an old .doc has to be saved as .docx or PDF first), Google Docs download as .docx, paper checklists are scanned or photographed, and spreadsheets import as they are. Autodraft reads each file into a draft template of areas, items and comments that you review, and every comment lands in your comment library. A client spreadsheet imports as contacts, old report PDFs go into a read-only past-report archive, and your calendar doesn't import.
What comes over from Word, PDF and paper templates
- Word and Google Docs templatesImports
Drop the .docx file (or .dotx, .docm) on the Templates page as it is, and Autodraft reads it into a template for you to review. An old .doc file isn't accepted: open it in Word and save it as .docx or PDF. Download Google Docs as .docx.
- Paper checklistsImports
Scan or photograph the pages (JPG, PNG, WEBP or HEIC images, or a scanned PDF). Each file becomes its own template, so put all the pages of one checklist into one scanned PDF, not one photo per page.
- Spreadsheets of commentsImports
Drop the .xlsx, .xls, .csv or .tsv file as it is. Autodraft works out which column holds the area, item, comment and severity from the header row and a sample, then every row is read. Nothing is cut off at the bottom.
- Fillable PDF formsImports
The form's sections and comments come in as an ordinary template of areas and items, not the form's printed layout. If the form is NPMA-33, TREC REI 7-6, Florida wind mitigation or the Citizens 4-Point, use Househound's built-in report type for it instead of importing.
- Comment libraryImports
Comes in with the templates. Every comment the importer reads is added to your comment library, and a comment that matches one already there is reused rather than duplicated.
- Report branding and logoSet up fresh
Upload your logo and set company details and a report footer in Settings › Organization. There is one report design, with no custom layouts or colors.
- Clients and agentsImports
Save your client spreadsheet or address book as CSV or Excel, then open People › Clients or Agents › Import contacts… and pick the file. You map each column and see a preview; a contact whose email is already saved is updated, not duplicated. Web only.
- Past reportsImports
Upload the PDFs to the past-report archive (Reports › Archive › Past reports): read-only, searchable, shareable. Only PDFs are accepted, so save old Word reports as PDF first. They don't become Househound inspections; the best of them also become the source for your templates.
- Services and feesSet up fresh
Enter services in Settings › Services & pricing, or start from the built-in list of about 35. Price rules add by square footage, bedrooms or units.
- AgreementsImports
Upload the agreement as it is, Word included (PDF, DOC, DOCX, RTF, TXT or MD, up to 15 MB), in Automations › Agreements. It shows on the signing page as written. There's no automatic text extraction: paste the text into the editor for merge fields.
- Email wordingSet up fresh
Copy the wording you send by hand today into Automations › Email. Those emails then go out on their own: confirmation, reminder, agreement, invoice, report ready and follow-up.
- Booking and paymentsSet up fresh
New setup: Settings › Booking page for online booking, and Set up payments in Settings › Services & pricing for card payments into your own Stripe account at 3.25% + 40¢, Stripe's processing included.
Step by step
Step 1: Get your Word and Google Docs files ready
Househound's importer reads Word .docx files (also .dotx and .docm) as they are, along with PDF, images, spreadsheets, plain text and JSON. Make a copy of your template or a finished report, and:
- Word .docx: nothing to convert. Import the file as it is.
- Old Word .doc: not accepted. Open it in Word and save it as .docx (File › Save As, then choose Word Document (.docx)), or as a PDF.
- Google Docs: File › Download › Microsoft Word (.docx).
The importer reads a Word file's text, headings, lists and tables, which is how it tells an area from an item. It doesn't read pictures, so if your wording lives in images or scanned pages inside the document, save that one as a PDF instead. If a file passes 20 MB, delete the photos from the copy and save it again.
Step 2: Turn paper checklists into one file each
Scan each checklist with your phone's document scanner. On an iPhone or iPad, open a note in the Notes app, tap the attachment button, choose Scan Documents, and add every page of the checklist to the same scan. Save or share it as a PDF.
One file becomes one template. A six-page checklist uploaded as six photos makes six templates; the same six pages in one PDF make one. A single photo works for a one-page checklist. Printed checklists are the safest source; if yours is filled in by hand, check the result closely.
Step 3: Tidy your spreadsheets
If you keep comments in Excel or Google Sheets, they'll import as they are. It helps to have:
- a header row with plain names, such as Area, Item, Comment, Type and Severity
- one comment per row
Area Item Comment Severity Roof Flashing Kickout flashing is missing at the roof-to-wall joint. Moderate Gutters Gutters are full of debris. Minor A blank area cell under a filled one is read as the same area, so merged cells and grouped rows are fine. Google Sheets: File › Download › Microsoft Excel (.xlsx) or comma-separated values (.csv).
Step 4: Choose the reports that will become your comment library
Your best old reports hold years of wording. Pick 3 to 5 that cover different houses: an older home with a crawlspace, a slab-on-grade newer build, a condo, a house with a well and septic. Prefer long reports where most of the findings you write were used. A Word report imports as it is; an old .doc needs saving as .docx or PDF first. See Building your comment library from your best old reports below.
Step 5: Create your Househound account
Sign up on the web at househoundusa.com/signup. Your first 3 reports are free and no card is needed. Then install the iPhone, iPad or Android app and sign in.
Step 6: Import everything on the web dashboard
Open Templates and choose Import, or use the Templates step in the setup wizard, where import is listed first. Drop up to 10 files at once, each up to 20 MB. Each file becomes its own template and succeeds or fails on its own, so one unreadable scan doesn't hold up the rest. The import keeps running if you close the page. Import is on the web dashboard only, not in the phone apps.
Step 7: Review the drafts
A template read from a document is a draft. Pick the one that matches your usual inspection best and make it your main template. Then check:
- area and item names, and their order through the house
- each comment's type (informational, limitation or deficiency) and, for deficiencies, its severity (major, moderate or minor)
- anything specific to one house, such as an address, a client's name or "the north bedroom", that should read as general wording
- fields you want as choices rather than text, such as roof covering or water heater fuel, which you can turn into option lists, checkboxes, dates or numbers in the template editor
Step 8: Import your client list and upload your old report PDFs
Both are on the web dashboard only.
- Clients and agents: save your client spreadsheet or address book as a CSV or Excel file. Open People, then Clients or Agents, and choose Import contacts…. Pick the file (up to 5,000 rows), map each column (name, email, phone, company, type, notes), check the preview and choose what untyped rows become. A contact whose email is already saved is updated rather than duplicated, and every skipped row is listed with the reason.
- Old reports: open Reports › Archive › Past reports and upload your report PDFs, up to 50 at a time and 50 MB each. Only PDFs are accepted, so save Word reports as PDF first (in Word, File › Save As, then choose PDF). Househound reads the address, client, email and date from each PDF, and you can correct them. They're read-only: you can search, open, download, copy a share link or email one to the client, but they don't become Househound inspections.
Step 9: Set up the business side
- Services: Settings › Services & pricing.
- Agreement: Automations › Agreements. Upload your Word or PDF agreement as it is. It goes to the client 48 hours before the inspection by default.
- Email: Automations › Email.
- Booking page: Settings › Booking page. Put the link or embed code on your website.
- Payments: Settings › Services & pricing › Set up payments.
Step 10: Write one real inspection in Househound
Take the next ordinary inspection and write it in the app. Inspections within a week of today download to the phone, so you can work with no signal. Each time you reach for wording that isn't there, write it once and save it to the library from inside the report. After a week or two of jobs, the gaps are mostly filled.
What the import produces
Each file becomes a template of areas (Roof, Electrical, Plumbing), items inside each area (Flashing, Service panel, Water heater) and comments under each item, each with a type and, for deficiencies, a severity of major, moderate or minor. Those comments also go into your company's comment library.
How the file is read depends on what it is:
| File | How it's read |
|---|---|
| Spectora template export (.xlsx) | Exactly, column by column. Nothing is guessed. |
| Any other spreadsheet | Autodraft works out the columns from the header row and a sample, then every row is read the same way. |
| PDF, scan or photo | Autodraft reads the document and builds the areas, items and comments. |
| Word (.docx, .dotx, .docm) | Read the same way, from the document's text, headings, lists and tables, up to 200,000 characters. Pictures inside it aren't read. |
| Plain text, Markdown or JSON | Read the same way, up to 200,000 characters. A JSON comment library is read as a document into a draft, not parsed field by field. |
| Old Word (.doc) | Not accepted. Open it in Word and save it as .docx or PDF. |
Imports keep running if you close the page, and a tray shows their progress. A template read by Autodraft is a draft: review it before you rely on it in a client's report.
Building your comment library from your best old reports
The comment library is where your wording lives in Househound, and a finished report is the best record of it. A blank template only has the comments you wrote into it; a report has the comments you used.
- Pick reports with range. Different ages, foundations and systems. A 1920s house with knob-and-tube wiring carries comments a 2019 build never will.
- Prefer long reports. The importer can only read wording that's on the page. A report where most of your usual findings appear gives the most complete library.
- Drop them together. Up to 10 files at a time. Each makes a template, and all their comments go into one library. Where two reports share a comment, the existing library entry is reused.
- Keep one main template. Choose the template that fits your usual job and build on it. Comments from the others stay in the library and can be added to any report.
- Fix wording as you go. Rewrite house-specific comments into general wording the first time you use them in a new report, and save the edited version back to the library.
During an inspection, Autodraft uses this same library: it turns a spoken note into a drafted finding, reusing one of your comments as written, adapting one, or drafting a new one, and nothing is saved until you approve it. The more of your own wording is in the library, the more often the draft is yours word for word.
What doesn't carry over (and what to do instead)
- Your calendar. Enter upcoming jobs in Househound by hand. There's no Google or Outlook calendar sync.
- Your document's look. A Househound report has one design, delivered as a link that opens on any phone, with a PDF download of the same report. Your Word layout, fonts and colors don't carry over.
- Old reports as editable jobs. Old report PDFs go into the past-report archive as read-only records: searchable and shareable, but not editable, republishable or invoiceable. Word reports have to be saved as PDF first, and the archive isn't part of Househound's data export, so keep your own copies too.
Clients and agents do carry over: a CSV or Excel file imports through People › Clients or Agents › Import contacts….
If your reports are state or insurance forms
Househound has four fixed forms, each with a check that blocks publishing until the form is complete: the NPMA-33 wood-destroying insect report, the Texas TREC REI 7-6, the Florida wind mitigation form (OIR-B1-1802 Rev. 04/26) and the Citizens 4-Point. Don't import a PDF of one of those; start a report of that type instead. The Florida forms print as Househound's own layout of the form's questions, not the official OIR or Citizens PDF filled in.
Other forms aren't modelled: other states' WDI forms (Texas SPCS, for example), other carriers' 4-Point versions and roof certifications. Importing one of those PDFs gives you a template with the form's sections and wording, not the form's layout, so it won't satisfy a form requirement. If those forms are most of your work, keep filling them where you do today. For a wider look at what different software offers, see the buyer's guide to home inspection software.
Questions
Can I import a Word document into Househound?
Yes, a .docx file (also .dotx or .docm) imports directly: drop it on the Templates page and Autodraft reads it into a draft template you review. An old .doc file isn't accepted; open it in Word and save it as .docx or PDF first. Google Docs download as .docx (File › Download › Microsoft Word).
Can I bring my client list and old reports into Househound?
Yes. A client spreadsheet imports as a CSV or Excel file through People › Clients or Agents › Import contacts…, and a contact whose email is already saved is updated rather than duplicated. Old report PDFs upload to the past-report archive, where they're read-only, searchable and shareable; Word reports need saving as PDF first.
Can I import a paper inspection checklist?
Yes. Scan or photograph it and import the images or a scanned PDF. Put all the pages of one checklist into one PDF, because each file becomes its own template.
Will my Excel list of comments import?
Yes. Any .xlsx, .xls, .csv or .tsv file is read: Autodraft works out the columns from the header row, then every row is read. A header row with names like Area, Item, Comment and Severity gives the cleanest result.
What if I don't have a template at all?
Start from Househound's built-in starter template and add your own wording as you inspect. Each comment you write can be saved to your comment library from inside the report.
Can I keep using my Word agreement?
Yes. Upload it in Automations › Agreements (PDF, DOC, DOCX, RTF, TXT or MD, up to 15 MB) and clients sign it online. To have the client's name and the address filled in for you, paste the text into the editor and add merge fields.
Will Househound build my template for me?
No, there's no done-for-you setup service. The import does the reading; you review the result. If a file doesn't come through the way you expect, email hello@househoundusa.com.
