How to switch from Spectora to Househound

Updated October 27, 2026 · Time needed: An afternoon of setup, then a week or two of overlap

Short answer

Your Spectora templates and comment library move into Househound through Spectora's own Export to spreadsheet file, which Househound reads exactly: sections, items, comment text, comment types, severities, multiple-choice options, units, defaults, recommendations and default estimates. Clients and agents import from Spectora's Data Exports spreadsheets, and past reports go into Househound's read-only past-report archive as the PDFs from Spectora's Google Drive backup. Services and your calendar don't import, so set up services, agreements and the booking page fresh in Househound. Plan on an afternoon of setup and a week or two of running both.

What comes over from Spectora

  • TemplatesImports

Export each template from Spectora with Export to spreadsheet, then drop the files on the Templates page. Househound recognizes the Section Name, Item Name and Comment Name columns and reads them exactly: sections become areas, items stay items, and comments keep their text, type, severity, multiple-choice options, units and defaults. The Recommendation column and Default Estimate Min and Max come in on deficiencies, as a recommendation sentence and a repair cost range. Up to 10 files at once, 20 MB each.

  • Comment libraryImports

Comes in with each template. Every comment lands in your company comment library, comments you already have are reused, and location variants such as "(Bedroom)" and "(Kitchen)" collapse into one comment. There's no separate library-only import.

  • Report branding and logoSet up fresh

Upload your logo, company details and report footer in Settings. Househound has one report design: no custom colors or layouts, and a "Powered by Househound" line on every report.

  • Clients and agentsImports

Download Spectora's Inspection Data and Agent Export spreadsheets from Data Exports, then in Househound go to People → Clients or Agents → Import contacts… A CSV or Excel file works: you map the columns, and a contact whose email is already saved is updated, never duplicated. Web only.

  • Past reportsImports

Back them up from Spectora to Google Drive as PDFs, then upload the PDFs to the past-report archive (Reports → Archive → Past reports): read-only, searchable, shareable. They don't become Househound inspections. Your clients keep their Spectora portal access after you cancel.

  • Services and feesSet up fresh

Not imported. Start from the starter service library (about 35 services) or enter your own, then add price rules for square footage, bedrooms or units.

  • AgreementsImports

Upload your agreement file (PDF, DOC, DOCX, RTF, TXT or MD, up to 15 MB) to show on the signing page, and paste its text into the editor if you want merge fields. Text isn't pulled out of the file for you.

  • Email wordingSet up fresh

Househound has about 27 editable client and agent emails with merge fields and a live preview. Copy your Spectora wording in by hand. Email only: there are no text messages.

  • Booking pageSet up fresh

Set your start times, services and crew rules, then link to your booking page or embed it on your site. Bookings arrive as requests you approve.

  • PaymentsSet up fresh

Connect your own Stripe account. Card payments carry one 3.25% + 40¢ fee that includes Stripe's processing. Collect open Spectora invoices in Spectora before you leave.

  • Team membersSet up fresh

Invite each inspector and set their role and permissions. The first seat is $99 a month and each added inspector is $69 a month (or $990 and $690 a year on annual billing).

  • Calendar and scheduleSet up fresh

Not imported. Enter upcoming inspections by hand, or let jobs already booked in Spectora finish there.

Step by step

  1. Step 1: Export each template from Spectora as a spreadsheet

In Spectora, go to Templates → My Templates, open the template, click the three dots in the top right, choose Export to spreadsheet, pick Export Plain Text, then Download File (Spectora: How to export a template). Repeat for every template you use: home, condo, commercial, each one is its own file.

If you don't see the export option, your account needs the Edit Template permission, which an administrator turns on under Settings → Teams.

Either text option works. Both give you the same spreadsheet; the choice only changes the comment text inside it. Plain Text drops links, images and video from comments, which you can add back as photos and video in the report. HTML Text keeps the formatting as HTML code, and Househound cleans it on import: paragraphs, line breaks and lists carry over, and the remaining tags are removed, since Househound comments are plain text.

The file downloads with an .xls name. Leave the column headers as they are: Househound recognizes a Spectora export by its header row (Section Name, Item Name, Comment Name).

  2. Step 2: Export your clients, agents and money records

Open the drop-down at the top right of your Spectora dashboard and choose Data Exports, then click the link under each export you want (Spectora: Data exports). Download at least:

    • Inspection Data: inspections with contacts, addresses, services and fees. It's the most complete one.
    • Agent Export: agents with their inspection counts and most recent inspection date.
    • Charges and Payments and Fees, for your accountant.

You need Spectora's financial permission to see Data Exports. Custom exports need Spectora Advanced ($4 per inspection). The Agent Export and the client columns of Inspection Data import into Househound as contacts (step 7); the money files are your record.

  3. Step 3: Turn on Spectora's Google Drive backup for old reports

In Spectora, go to Settings → System Integrations, click Enable, choose the Google account, and click Allow (Spectora: back up reports and agreements). A Spectora Backups folder appears in that Google Drive with one folder per inspection, named by address and date.

The backup runs nightly at 1:00 AM and works through your backlog at about 100 reports a night, so 1,500 past reports take around 15 nights. Start it before anything else. It saves report PDFs, agreements, additional documents and invoices. It does not save videos, or photos as separate files (photos appear only inside the report PDFs). The report PDFs are what you upload to Househound's past-report archive in step 7.

  4. Step 4: Create your Househound account

Sign up on the web at househoundusa.com/signup. Your first 3 reports are free and there's no card to enter. Accounts and billing are set up on the web; the iPhone, iPad and Android apps are for signing in and inspecting.

  5. Step 5: Import your templates on the Templates page

In the Househound web dashboard, open Templates and click Import, then drop your Spectora files on it (or click to choose them). You can also do this during setup, where the templates step opens with Bring your own template.

Up to 10 files go in at once, 20 MB each. Each file becomes its own template and succeeds or fails on its own. Spectora exports are parsed directly from the columns, with no guessing and no row limit, so a large template comes in whole. If you close the page, the import keeps running.

  6. Step 6: Review the template and the comment library

Open each imported template and check it against Spectora before you rely on it:

    • Severity: Spectora's Category column maps -1 to minor, 0 to moderate and 1 to major. Househound has those 3 tiers.
    • Comment types: info becomes informational, limit becomes limitation, defect becomes deficiency.
    • Answer types: Checkbox, date, number, range and text fields keep their options, units and defaults. Spectora's Yes/No (boolean) comments come in as ordinary comments you add or leave out.
    • Location variants: "Damaged outlet (Bedroom)" and "Damaged outlet (Kitchen)" become one comment; you name the location when you use it.
    • Recommendations and estimates: Spectora's Recommendation column becomes a recommendation sentence on deficiency comments. Default Estimate Min and Max become a repair cost range on deficiencies; Spectora's untouched 10 and 1000 placeholder is ignored. Estimates show in reports once you turn on repair cost estimates in Settings.
    • What's left behind: Default photos, the Locked flag, default locations (empty in most exports) and anything you lost by choosing Plain Text.

Then open the comment library: every imported comment is there, ready for Autodraft to reuse when it turns your spoken notes into drafted findings.

  7. Step 7: Import your contacts and upload past report PDFs

On the web, go to People → Clients → Import contacts… and choose Spectora's Inspection Data file. Map the client name, email and phone columns and set the rest to Don't import. Then go to People → Agents → Import contacts… and choose the Agent Export. CSV and Excel files both work, up to 5,000 rows and 5 MB. A contact whose email is already saved is updated, never duplicated, and every skipped row is listed with the reason.

Then open Reports → Archive → Past reports and upload the report PDFs from your Spectora Backups folder, up to 50 at a time, 50 MB each. Househound reads the address, client, email and date from each PDF, and you can correct them. Archived reports are read-only: you can search, open, download and share them, but they don't become Househound inspections (no editing, republishing or invoices).

  8. Step 8: Set up services, your agreement, emails, the booking page and Stripe

Add your services and fees (start from the starter library or type your own) and any price rules for square footage, bedrooms or units. Upload your agreement file and choose when it goes out (48 hours before the inspection by default). Go through the client and agent emails and paste in the wording you used in Spectora. Set your booking start times and crew rules.

Connect your own Stripe account from Househound's payment settings. Money goes straight to that account. Each client card payment carries 3.25% + 40¢, and that includes Stripe's processing, so it's one deduction.

  9. Step 9: Write one real inspection in Househound with Spectora still open

Use one of your 3 free reports on a real job. Inspect from the phone app, dictate a few findings, publish, and compare the result with what Spectora would have sent. Keep Spectora open for jobs already booked there. Fix anything in the template now, while both are running.

  10. Step 10: Move your booking link, then cancel Spectora

Point your website's "Book an inspection" link at your Househound booking page, or paste the booking widget onto the page. Once the last Spectora job is published and paid, cancel: click your name at the top right, then Billing → Subscriptions → Cancel (Spectora: How to cancel your subscription).

Spectora gives no refunds or prorated credits, so cancel shortly before your next billing date, especially on an annual plan. Website hosting is a separate subscription and stays on until you cancel it on its own.

What doesn't carry over (and what to do instead)

Templates, the comment library and contacts import from Spectora, and past report PDFs go into a read-only archive. The rest is either kept as a file, set up fresh, or works differently.

SpectoraIn Househound
Past reportsUpload the PDFs to the past-report archive. They're read-only: no editing, republishing or invoices. Clients keep their Spectora portal.
Services, fees, automationsSet up fresh in Househound.
Text messagesNot available. Househound sends email only.
TREC, Florida 4-Point, Wind Mitigation formsBuilt in: NPMA-33, TREC REI 7-6, Florida wind mitigation (OIR-B1-1802 Rev. 04/26) and the Citizens 4-Point. Florida forms print in Househound's layout of the questions, not the official OIR PDF filled in. There's no Texas WDI form.
Repair Request BuilderThe client or buyer's agent builds a repair request from the published report and shares it as a link, copies it as text, downloads a CSV or prints it. Househound doesn't send it by email or text.
Cost estimates and Repair PricerInspector-entered repair cost ranges on deficiencies, with defaults from your comment library. Househound doesn't suggest prices and has no Repair Pricer integration.
Require payment before report releaseNot available. Househound can hold a report until the agreement is signed, not until it's paid.
PDF report downloadReports are delivered as a link, with a PDF download of the same report. The delivery email links to the PDF. Spectora offers a summary PDF and a full PDF; Househound has one.
QuickBooks, calendar sync, APINot available. Househound has no integrations.

If you depend on text messages, QuickBooks, Texas WDI forms or holding a report until it's paid, weigh that before you move. The Househound vs Spectora comparison covers the rest side by side.

Keeping old Spectora reports

Upload the report PDFs from Spectora's Google Drive backup to Househound's past-report archive, and keep your Spectora login for anything else.

  • The Drive backup: report PDFs, agreements, invoices and attachments land in your own Google Drive, one folder per inspection. Videos are not included, so keep your own copies of any you need.
  • The past-report archive: in Househound, Reports → Archive → Past reports takes up to 50 PDFs at a time, 50 MB each. They're searchable by address, client, email and date, and you can open, download, email a report to the client or copy a share link (valid 90 days, and you can turn it off). Web only, and PDFs only.
  • Your Spectora account stays readable after you cancel. Spectora says you can still log in and view templates, settings and reports; you can't schedule new inspections without paying again.
  • Clients keep access. Spectora says clients can keep opening their past reports through their client portal after you cancel.

For a single report, open the inspection, click View under the report, click the blue PDF button on the cover photo, and pick Summary or Full Report (Spectora: download or print a report PDF).

If you run a team on Spectora

Export the templates once: Spectora templates belong to the company, so one person with the Edit Template permission can export all of them. Import them into Househound before you invite anyone, so every inspector starts on the same template and comment library.

Then invite each inspector and set what they can do: create inspections, see team reports, edit the company library, manage members, settings, billing or payroll. Several inspectors can work in the same report at once, each finding shows who last edited it, and each report has an activity feed.

If you use Spectora's PaySplits (an Advanced feature), Househound's payroll records per-inspection pay as a flat rate or a percent of the job and exports a CSV for your payroll provider. It records pay; it doesn't send money.

Spectora-specific gotchas

  • "Spectora exports templates as HTML." You'll see this in other vendors' switching guides. It refers to the Export HTML Text choice inside Spectora's spreadsheet export, not a separate HTML file. The file is still a spreadsheet. Either choice works for Househound: Plain Text needs no cleaning, and HTML Text is cleaned on import (tags become paragraphs, line breaks and lists).
  • Don't rebuild the spreadsheet. Househound's exact import depends on Spectora's header row. If you copy the data into a new sheet with different headers, Househound still reads it, but through Autodraft's column mapping instead of the exact parse, so review it closely.
  • Payments: New Spectora accounts are enrolled in Spectora Payments by default. Settle open invoices in Spectora before you cancel; Househound can't collect them.
  • Websites: A Spectora website is a separate subscription. Cancelling the software leaves it running, and Househound doesn't build websites.
  • Timing: No refunds or prorated credits on cancellation. Your last Spectora month is a good overlap month.

Questions

Can I import my Spectora templates into Househound?

Yes. Export each template from Spectora with Templates → My Templates → ⋯ → Export to spreadsheet → Export Plain Text, then drop the files on Househound's Templates page. Househound reads Spectora's spreadsheet exactly, keeping comment text, types, severities, multiple-choice options, units and defaults, plus recommendations and default estimates on deficiencies.

Does Spectora export templates as HTML or as a spreadsheet?

As a spreadsheet. Spectora's Export to spreadsheet offers two text options, Export Plain Text and Export HTML Text, and both produce the same spreadsheet with Section Name, Item Name and Comment Name columns. Either works for Househound: Plain Text comes in as is, and HTML Text is cleaned on import so its formatting code doesn't show in your wording.

Does my Spectora comment library come over too?

Yes, with the templates. Every comment in an imported template goes into your Househound comment library, and location variants such as "(Bedroom)" collapse into one comment. There's no separate library-only import.

Will my clients and agents move to Househound?

Yes, through a file. Download Spectora's Inspection Data and Agent Export spreadsheets from Data Exports, then use People → Clients or Agents → Import contacts… on the Househound web dashboard. A CSV or Excel file works, and a contact whose email is already saved is updated rather than duplicated.

How do I keep my old Spectora reports?

Turn on Spectora's Google Drive backup under Settings → System Integrations, then upload the report PDFs to Househound's past-report archive (Reports → Archive → Past reports). The backup copies report PDFs, agreements, invoices and attachments at about 100 reports a night, but not videos. Archived reports are read-only, searchable and shareable. Spectora also says clients keep portal access after you cancel.

Will Spectora refund the rest of my subscription?

No. Spectora's help center says it gives no refunds or prorated credits when you cancel, so cancel shortly before your next billing date.

Does Househound move my data for me?

No, there's no done-for-you migration. The template import, contact import and past-report archive are self-serve. If a Spectora file doesn't come through, email hello@househoundusa.com with the file.
