How to switch from ScribeWare to Househound

Updated October 27, 2026 · Time needed: An afternoon of setup, then 1 to 2 weeks running both

Short answer

Switching from ScribeWare to Househound brings over your templates and comment library by importing a one-click PDF of a finished ScribeWare report, which Househound's importer reads into a template you review. ScribeWare doesn't document a self-serve export of contacts, so ask its support for a CSV and import it in Househound; make PDFs of your old reports and upload them to Househound's read-only past-report archive. Plan on an afternoon of setup and a week or two of overlap, longer if you rely on ScribeWare's fills of official state PDF forms: Househound has TREC REI 7-6, NPMA-33 and the Florida wind mitigation and Citizens 4-Point forms, but prints them in its own layout.

What comes over from ScribeWare

  • TemplatesImports

Make a one-click PDF of a finished ScribeWare report and drop it on the Templates page. Autodraft reads it into a template of areas, items and comments for you to review. ScribeWare doesn't document a template file export, so a finished report is the source.

  • Narrative libraryImports

Comes in with the template: every comment the importer reads lands in your comment library. Comments that never appeared in a published report won't come across, so import the reports with the most findings.

  • Report branding and logoSet up fresh

Upload your logo and set your company details and report footer in Settings › Organization. There is one report design: no custom colors or layouts, and a "Powered by Househound" line on every report.

  • Clients and agentsImports

ScribeWare doesn't document a contacts export, so ask its support for a CSV. Then in Househound open People › Clients or Agents › Import contacts… and pick the file (CSV or Excel). A contact whose email is already saved is updated, not duplicated. Web only.

  • Past reportsImports

Make a one-click PDF of each report you need, then upload the PDFs to the past-report archive (Reports › Archive › Past reports): read-only, searchable, shareable. They don't become Househound inspections. Keep the copies ScribeWare saves under Documents\ScribeWare\Inspections too.

  • Services and feesSet up fresh

Enter your services in Settings › Services & pricing, or start from the built-in list of about 35. Price rules add by square footage, bedrooms or units only, with no distance or travel pricing.

  • AgreementsImports

Upload your contract file (PDF, DOC, DOCX, RTF, TXT or MD, up to 15 MB) in Automations › Agreements and it shows on the signing page as written. There's no automatic text extraction: paste the text into the editor if you want merge fields filled in.

  • Email and reminder wordingSet up fresh

Copy your ScribeWare message templates into Automations › Email. Reminders and follow-ups are scheduled for you and re-sent if the appointment moves.

  • Booking pageSet up fresh

Set it up in Settings › Booking page and replace ScribeWare's booking link or embed on your website. Bookings arrive as requests you approve; there's no instant confirmation.

  • PaymentsSet up fresh

Set up payments in Settings › Services & pricing. Money goes to your own Stripe account at 3.25% + 40¢ per card payment, Stripe's processing included. Your Payfactory history stays with ScribeWare.

  • Team membersSet up fresh

Invite each inspector from the People page and set who can edit the company library and see the team's reports. The first inspector is $99 a month and each added inspector is $69 a month, or $990 and $690 a year on annual billing.

  • Calendar and scheduleSet up fresh

Not imported, and there's no Google Calendar sync. Finish jobs already booked in ScribeWare there and book new ones in Househound.

Step by step

  1. Step 1: Ask ScribeWare support for an export, and save report PDFs

ScribeWare's documentation doesn't describe a self-serve way to export templates, the narrative library, contacts or past reports. Its FAQ points questions it doesn't cover to support@getscribeware.com. Before you cancel, email them and ask for:

    • a contacts export (clients and agents) as a CSV or Excel file, which Househound can import
    • your templates and narrative library in a spreadsheet or document you can open
    • what happens to your cloud copies when the subscription ends

What you can do yourself today:

    • Report PDFs. ScribeWare's FAQ says you can generate a PDF of any report with one click. Make one for each report you must keep.
    • Local copies. Per the FAQ, reports are saved to your hard drive under Documents\ScribeWare\Inspections. Copy that folder somewhere you back up.
  2. Step 2: Pick the reports you'll build templates from

Choose 1 to 3 finished reports with the most findings: a long report on an older house carries more of your library than a clean new build. If you run separate templates (home, condo, sewer scope, commercial), make a PDF from one report of each. Each file becomes its own Househound template.

If support sends your library as a spreadsheet, that works too. Househound reads any .xlsx, .xls, .csv or .tsv file by working out its columns from the header row, then reading every row. A Word .docx file imports directly as well; an old .doc has to be opened in Word and saved as .docx or PDF first.

  3. Step 3: Create your Househound account

Sign up on the web at househoundusa.com/signup. Your first 3 reports are free and no card is needed.

  4. Step 4: Import your templates on the web dashboard

Open Templates and choose Import, or use the Templates step in the setup wizard. Drop up to 10 files at once, each up to 20 MB. Import is on the web dashboard only.

Each file is read by Autodraft into a template of areas, items and comments. The import keeps running if you close the page.

  5. Step 5: Review the template and the comment library

A template read from a PDF is a draft. Open it and check the area and item names, each comment's type (informational, limitation or deficiency) and, for deficiencies, the severity (major, moderate or minor).

    ScribeWare-specific things to look for:

    • Gunnysacks print as one bulleted comment holding several defects. Check whether each came in as one comment or several, and split or merge it the way you want to use it.
    • Connected fields, modifiers and text replacement print as finished sentences. They come in as plain wording; Househound comments can carry option lists, checkboxes, dates and numbers, which you add in the template editor.
    • Inspector-only notes don't print, so they won't come in.
  6. Step 6: Import your contacts and upload your past report PDFs

Both are on the web dashboard only.

    • Contacts: open People, then Clients or Agents, and choose Import contacts…. Pick the CSV or Excel file support sent (up to 5,000 rows), map each column (name, email, phone, company, type, notes), check the preview and choose what untyped rows become. A contact whose email is already saved is updated rather than duplicated, and every skipped row is listed with the reason.
    • Past reports: open Reports › Archive › Past reports and upload your report PDFs, up to 50 at a time and 50 MB each. Househound reads the address, client, email and date from each PDF, and you can correct them. They're read-only: you can search, open, download, copy a share link or email one to the client, but they don't become Househound inspections.
  7. Step 7: Set up services, agreements, email, booking and Stripe

    • Services: Settings › Services & pricing.
    • Agreement: Automations › Agreements. Upload the contract you used in ScribeWare's Contract Editor, or paste its text. It goes out 48 hours before the inspection by default, and you can require a signature before the report can be published.
    • Email wording: Automations › Email.
    • Booking page: Settings › Booking page.
    • Payments: Settings › Services & pricing › Set up payments. Money goes to your own Stripe account. The 3.25% + 40¢ fee includes Stripe's processing, so it's one deduction. A Canadian company chooses Canada when connecting Stripe and takes card payments in CAD (3.25% + C$0.40); invoices carry no GST, HST, PST or QST lines.
  8. Step 8: Write one real inspection in Househound with ScribeWare still open

ScribeWare is a desktop writer with phone capture apps. Househound puts the whole report editor on the phone, and the web dashboard is for templates, settings and review at a desk. Write one ordinary inspection start to finish on the phone and note every comment you reach for that isn't there. Save those to the library from inside the report.

  9. Step 9: Point your website's booking link at Househound

Replace the ScribeWare booking link or embed with your Househound booking page link or embed code. Leave ScribeWare running until the jobs booked there are done and published.

  10. Step 10: Cancel ScribeWare at the end of its term

ScribeWare's unlimited plan is $99 a month billed monthly, or $89 a month billed annually ($1,068 a year). If you're on the annual plan, time the move to its renewal date. If you pay per report ($12 each), there's no subscription to time. Ask support how to keep cloud access to old reports; ScribeWare's FAQ says cloud storage can be kept after closing a business "for a nominal fee".

What doesn't carry over (and what to do instead)

Templates and your narrative library come in through the template importer, a contacts CSV from support comes in through contact import, and report PDFs go into the read-only past-report archive. Your schedule stays in ScribeWare until those jobs are done.

ScribeWare has several features Househound doesn't, or does differently. Check these against how you work before you move:

  • State PDF form fills. ScribeWare supports TREC and fills PDF forms such as Florida wind mitigation from report data. Househound has four fixed forms: TREC REI 7-6, NPMA-33, Florida wind mitigation (OIR-B1-1802 Rev. 04/26) and the Citizens 4-Point. It prints them as its own layout of each form's questions, not the official PDF filled in, and it has no other states' forms or other carriers' 4-Point or roof-certification forms. If you fill official PDFs beyond those four, that's a reason to stay.
  • French and Spanish reports. Both offer them. Househound's Spanish and French versions are automatic translations of the English report (English governs, and a notice says so), not edited by a person, and TREC reports aren't translated.
  • Re-inspections. Househound has no workflow that carries findings into a re-inspection. Both have a repair request builder; in Househound the client or the buyer's agent builds it from the published report in the browser and shares it as a link, text, CSV or printout.
  • Holding the report until payment. ScribeWare's portal holds the report until the client pays. Househound can hold publishing until the agreement is signed, but not until payment.
  • Long videos. ScribeWare allows video files up to 2,000 MB. Househound caps each clip at 60 seconds and 100 MB, which matters for sewer scopes.
  • Integrations. ScribeWare connects to Zapier (and through it Google Calendar and Google Sheets), ISN, NxtInspekt, iGo Keystone and a REST API. Househound has no customer-facing integrations.
  • Windows and Mac desktop app. Househound's desk side is a web dashboard in the browser, and it doesn't work offline. The phone apps do.

The Househound vs ScribeWare comparison covers the rest, including where Househound is ahead.

Keeping old ScribeWare reports

Your old reports can live in Househound as PDFs, but not as Househound inspections. Three places to keep them:

  1. PDFs in Househound's past-report archive. One click per report in ScribeWare, then upload them under Reports › Archive › Past reports, up to 50 at a time. They're read-only, searchable by address, client, email and date, and you can copy a share link (valid for 90 days) or email one to the client. Make them for every report your state or your insurer expects you to keep. The archive isn't part of Househound's data export, so keep your own copy of the PDFs too.
  2. The local folder. Documents\ScribeWare\Inspections on the computer you write on. Copy it to a backup drive before you uninstall anything.
  3. ScribeWare's cloud. Ask support what the "nominal fee" for keeping cloud storage is and whether old report links stay live for clients.

If you run a team on ScribeWare

ScribeWare charges $99 a month (or $89 billed annually) plus $69 a month for each additional inspector. Househound is $99 a month for the first inspector and $69 a month for each added one. At monthly rates:

InspectorsScribeWare per monthHousehound per month
1$99$99
3$99 + 2 × $69 = $237$99 + 2 × $69 = $237
10$99 + 9 × $69 = $720$99 + 9 × $69 = $720

Billed monthly, the two cost the same at every team size. On annual billing, Househound's first inspector is $990 a year ($82.50 a month) against ScribeWare's $1,068 ($89 a month), and each added Househound inspector is $690 a year ($57.50 a month). In Househound, templates and the comment library belong to the company, and you choose per person who can edit them and who can see the team's reports. Several inspectors can write in one report at once, which ScribeWare also offers. Payroll statements and per-inspector stats are on the web dashboard.

ScribeWare-specific gotchas

  • Template edits happen on the web. Househound's phone apps can pick a template but not edit one. If you're used to building templates in the ScribeWare desktop app, do that work in the browser.
  • Your processing fee changes shape. ScribeWare lets you pass the Payfactory fee to the client as a line item. Househound's fee is taken from the payment, not added to the invoice.
  • The AI Assistant (MCP) stays behind. ScribeWare's beta connector works with your own assistant on the desktop. Househound's Autodraft is built in: it turns a spoken note into a drafted finding from your own comment library, and nothing is saved until you approve it.

Questions

Can I import my ScribeWare templates into Househound?

Yes, from a report. Make a one-click PDF of a finished ScribeWare report and drop it on the Templates page in Househound's web dashboard. Autodraft reads it into a template that you review. If ScribeWare support sends your library as a spreadsheet or a Word .docx file, Househound reads that too.

Does ScribeWare let you export your data?

Not in a documented self-serve way. ScribeWare's docs cover one-click PDFs, local report copies under Documents\ScribeWare\Inspections and cloud backup, but no export of templates, libraries or contacts. Ask support@getscribeware.com before you cancel.

Can Househound do Texas TREC reports?

Yes. Househound has a TREC report type on the promulgated REI 7-6 layout, with I / NI / NP / D boxes per item and a check that blocks publishing until every item has a box. It also has NPMA-33 and the Florida wind mitigation and Citizens 4-Point forms, printed in Househound's own layout. ScribeWare fills official state PDF forms beyond those, so check any other form you depend on.

Can I import my ScribeWare clients and agents?

Yes, from a file. Ask ScribeWare support for a contacts CSV, then in Househound's web dashboard open People › Clients or Agents › Import contacts… and pick it. A contact whose email is already saved is updated rather than duplicated.

Does Househound have a Windows or Mac app?

No. The desk side of Househound is a web dashboard that runs in any browser. Reports are written in the iPhone, iPad and Android apps, which work offline, or on the web dashboard when you're online.

Will Househound move my ScribeWare data for me?

No, there's no done-for-you migration service. The import runs on your own files. If one doesn't come through the way you expect, email hello@househoundusa.com.
